We run your expense payments. You review exceptions. Your team spends on their own card, keeps every reward, and is paid back the minute it clears policy. Suppliers are paid on time, and their card spend earns cashback against your fee. You settle it all on one weekly statement.
ExpenseOS drafts & explains, never moves money
Hi, I’m ExpenseOS. Ask how the coding works, how fast your people get paid back, or whether you can still issue company cards.
02The problem
Corporate card programs bury you in statements, receipts and reconciliation, and the company keeps your people’s rewards. Pure reimbursement makes your people front the cash for weeks. Both funnel into the same artifact: the expense report. ExpenseOS deletes it: every receipt arrives coded, your policy runs the test, and month-end becomes review, not repair.

The paperwork is the smaller leak. Travelers who book out of policy cost $2,881 more per year each (GBTA Foundation), and expense fraud runs 18 months before it is caught (ACFE 2024). ExpenseOS closes both the same way: the purchase is approved before the money moves.
The honest trade: employees keeping points means the company gives up its corporate-card rebate (~1% of T&E spend). On the calculator’s default example, $300K of supplier spend with half on card, report processing, expense software and supplier payments cost $7,200 a month today, while the platform pays you $500 a month as a founding customer (1% cashback on the $150K paid by card, less half a point on the $200K moved without a card), before counting what out-of-policy booking costs you: run your numbers.

04Money you can trust to AI
Expenses that pass your policy and the AI’s review reimburse the moment they clear. The stringent test is yours: you wrote it; ExpenseOS just runs it. Bring the policy doc you already have, the AI drafts the rules from it and our team reviews every one with you.
Over-limit, off-policy or unusual spend routes to the right approver: limits, dual control, maker-checker. On a trip over its cap, the employee can cover the difference instead, and you pay the in-policy amount, never more. The AI can’t widen its own authority, and vendor payments always carry a human release.
Policy-approved or human-approved, every movement logs who, or what rule, cleared it, and every expense is coded and posted to your books automatically. Give your auditors a read-only seat, and export any period, receipts, coding and approval log, in one click.
Day one: start from the policy pack for your industry, built for professional services, software and technology, field services and construction, life sciences, nonprofits, government contractors, property management or home health and home care. From then on, change budgets and policy on screen or in a sentence. ExpenseOS shows every change it would make, and nothing changes until you confirm.

05How the money works
Your people are paid the minute an expense clears policy. You settle one weekly statement, a standard trade payable to ExpenseOS: half a point on every dollar moved without a card, less the cashback your card payments earned. Never a credit line, no draw on your facilities.
Settle by autopay from your bank account each week. If the cashback on your card payments is larger than the fee on everything else, the difference is paid to you. Enterprise terms, including prefunded arrangements, by conversation. The product is identical either way.
Reimbursements land in a wallet the employee owns, held with regulated partners, not on your books and not on ours. They spend from it or move it to their bank anytime.
A standard trade payable · never a credit line
06Why we built this
“We watched our own teams front travel on personal cards, hand their points to a corporate program, and wait weeks to be paid back, while finance drowned in the reports. The fix isn’t another expense tool. It’s making the payment itself instant, and settling once a week.”

07The platform
08For your HR team
Coming soon: every program on one card, wellness to pre-tax commuter, each as its own stipend. Your HR team owns the programs; finance only sees the funding. It often retires a separate lifestyle-benefits vendor.
Points kept, paid back in a minute, perks with zero forms, the everyday experience that helps you hire and keep the best people, down to how a Tuesday-night work dinner gets paid back.
Every trip is checked against policy before anyone books, and over a cap people can cover the difference instead of being turned down. Nobody is required to front money they don’t have, and access follows the employee, on at day one, off at offboarding.

ExpenseOS works alongside the cards and payment programs you already have: keep the corporate card program, keep the bank-pay runs and retire the expense tool. Upload the card program’s statement and ExpenseOS reads every line, checks it against the statement’s own totals, matches it to the expenses and receipts it already has and asks cardholders only about what’s left. There are no seats and no software fee, so running it next to them costs nothing, and you pay only when we move money for you. Most teams start with reimbursements and supplier payments, leave everything else where it is, and shift more volume when the numbers argue for it.
